AE&C Services, a division of S&K Aerospace, LLC, is seeking to find an Administrative Assistant.  The position will be in Robertsdale, AL.  The Administrative Assistant is the first impression of the company.  Therefore, must be courteous, customer focused, well organized, flexible and able to demonstrate proficient communication. The Administrative Assistant will provide support to managers, employees, and customers with daily office needs and general administrative projects in a professional manner. Responsible for but not limited to greet guest and ensure they are properly escorted, direct incoming calls to appropriate associates, mail distribution, flow of correspondence, assist with parts ordering and sourcing, and maintain appropriate inventory of office supplies.

Essential Duties and Responsibilities
Duties and Responsibilities consist of but are not limited to the following:

  • Support and maintain general security efforts to include but not limited to:
    • Greet, assist and direct customers, visitors and staff as appropriate.  Screen as necessary.
    • Ensure all guest sign-in/out of facility.
    • Answer, screen telephone calls and direct to the appropriate associate. Transfer callers to the associate’s voice mailbox and/or take messages.
    • Maintain a current internal phone list and distribute with updates as they occur.
    • Provide callers with information as needed (i.e. address, directions, website, fax number, etc.)
    • Receive, sort and forward incoming and outgoing mail. Coordinate express delivery and pickup services (FedEx, UPS, etc.).
  • Support and maintain general office functions to include but not limited to:
    • Clean, organize and perform end of day checks (copy/fax area, lobby, breakroom, restrooms, vending, etc.)
    • Conduct safety inspection at designated facility and forward results to the safety officer.
    • Inventory and restock supplies (breakroom, supply room, vending, and marketing).
    • Document maintenance request and logs for all facilities.
    • Ensure the janitorial service tasks are met and notify supervisor if not. Correspond with service provider for specific janitorial needs.
  • Support and maintain company vehicle maintenance, driver authorizations, records and logs.
  • Assist and support other positions/departments with but not limited to:
    • Meetings, presentations, social events, training, employee moral award functions, etc.
    • Composition, correspondence, data entry, filing records, drafting documents, arranging appointments, bulletin board updates, mass notifications, etc.
Supervisory Responsibilities
This job will not have direct supervisory responsibilities.

Education and/or Experience
Associates degree and one (1) year of administrative experience and/or any equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities.  Ability to perform multiple projects with accuracy in a typical office environment.  Must be proficient with standard office equipment and Microsoft Office Suite software (Outlook, Power Point, Word, Excel, etc.).  Problem solver with excellent organizational and interpersonal skills with customers and internal departments is required.
